Minimized paper and printing expenses: Digital documentation, e-signatures, and cloud storage significantly reduce the use of paper, printing, and physical storage—resulting in cost savings and environmental benefits.

Cost reduction research – Savings calculator

A few years ago, I participated in research on how, and to what extent, overall digitization can reduce costs within a public legal entity, such as a city or municipality. We used a tool called the Savings Calculator, and based on relevant factors, we calculated the potential annual savings for such an entity.

Example.

As an example, we can take a public legal entity with:

  • • 20,000 exit acts per year (which is very little for a city)
  • • 2 trips to the post office per week
  • • 100 employees

The parameters we took into account to arrive at the calculation included the following:

  • Each exit document consists of an average of two sheets of paper and must be printed in three copies, totaling six sheets of paper per exit document. Two copies remain with the issuer, and one copy is sent to the recipient.
  • It is assumed that the business entity owns one printer, one paper punch, two staplers, and one stamp.
  • One printer failure is expected annually.
  • The cost of toner and paper per page is €0.05.
  • The sheets that remain in the institution are assumed to be stored in binders.
  • It is assumed that 90% of documents are sent by registered mail with return receipt, and 10% by regular mail.
  • A working month is considered to have 22 working days.
  • The GROSS II salary of an employee in the issuing institution is €1,300.00 (net €800).
  • It is assumed that one employee handles monthly printing and requires only one hour (60 minutes) per month for this task.
  • It is also assumed that only one employee is responsible for material procurement and printer maintenance, spending approximately 30 minutes per month on this task.
  • Going to the post office is estimated to take 20 minutes, which includes the time of one employee and the cost of a parking ticket.

The result of all the above is an annual saving during complete digitization of: 52.871,78€.

The results are eye-opening and clearly demonstrate how complete digitization can significantly reduce material costs within an organization. Moreover, when you consider that the savings achieved through digitization can be reinvested into other critical areas of operations, it becomes evident that its potential is far greater than many organizations currently realize.

Digitization is no longer a choice but a necessity for businesses aiming to remain competitive. By integrating digital technologies, organizations can significantly enhance efficiency, streamline operations, and reduce costs. As the digital landscape continues to evolve, those that embrace transformation will be better positioned for long-term success.

Overall, digitization reduces unnecessary costs and allows employees to focus more effectively on key tasks—eliminating repetitive, traditional processes that no longer have a place in modern organizations.
